A Closed Group Block is a hotel room block that is no longer open for new reservations under its original group booking arrangement. This may occur when the booking deadline has passed, the block has reached its allocated capacity, or the hotel or group organizer has closed the block according to the agreed conditions.
How It Works
While a group block is open, eligible guests can generally make reservations under the group’s negotiated terms, subject to availability and the booking conditions.
Once the block is closed, new reservations may no longer be accepted through the original group booking process. Depending on the hotel’s policy and the group agreement, guests may still be able to book directly with the hotel at the prevailing public rate, subject to availability.
Closing a block does not necessarily mean that all rooms have been booked or that the rooms are unavailable for sale. Unused inventory may be released for general sale according to the contract.
Practical Example
A hotel allocates 60 rooms for a conference, with a cutoff date of October 15. On that date, 45 rooms have been reserved.
The hotel closes the group block and releases the 15 unused rooms for general sale, as permitted by the agreement. Conference attendees who have not booked may still be able to reserve rooms directly at the hotel’s available rates.
How to Interpret Closed Group Block
Closing a group block helps hotels finalize group inventory and manage remaining room availability. It can also help reservations teams distinguish between bookings made under the group agreement and new reservations made outside that arrangement.
The exact meaning of a closed block depends on the hotel’s procedures and the terms of the group contract. Closing a block should not automatically be interpreted as cancelling existing reservations.
