Group Reservations

« Back to Glossary Index

Group Reservations are hotel bookings made for multiple guests or rooms associated with a common event, organization, company, tour, or other shared purpose. They are often coordinated under a group agreement that defines room rates, booking conditions, room allocations, and payment arrangements.

How It Works

Group reservations may be managed through a room block, a dedicated booking link, a group code, a rooming list, or individual reservations coordinated by the group’s organizer.

The hotel typically coordinates with the Sales and Events teams to establish room allocations, negotiated rates, cutoff dates, payment terms, and cancellation conditions.

Reservations teams monitor pickup and remaining inventory, communicate with the organizer, and update the block according to the agreement.

Practical Example

A conference organizer reserves a block of 40 rooms for three nights at CAD 190 per night.

Initial Room Block = 40 rooms × 3 nights = 120 room nights

If attendees ultimately reserve 105 room nights, the hotel can review the remaining 15 room nights and manage them according to the group’s contract and cutoff arrangements.

How to Interpret Group Reservations

Group business can provide a substantial volume of room nights and help hotels forecast demand. However, a group booking should not be evaluated by volume alone.

Revenue managers should consider the negotiated rate, expected pickup, wash, displacement of other demand, distribution costs, and the likelihood that the group will materialize as expected.

Effective coordination between Reservations, Sales, Revenue Management, and Front Desk helps ensure that group commitments are accurately recorded and fulfilled.
