A Rooming List is a document provided by a group organizer that contains the names of guests and their accommodation details for a group reservation. It helps the hotel create, verify, and manage individual reservations within a group block.
How It Works
A rooming list typically includes guest names, arrival and departure dates, room types, occupancy details, and any special requests. Depending on the group’s arrangements, it may also identify payment responsibilities, such as which charges are covered by the organizer and which are payable by individual guests.
The hotel’s Reservations team uses the list to create or update reservations in the Property Management System (PMS). The team should verify the information, identify missing details, and coordinate changes with the group organizer.
Rooming lists should be handled securely because they contain personal information.
Practical Example
A conference has a room block of 40 rooms. The organizer sends a rooming list containing 35 guest names, arrival and departure dates, and requested room types.
The Reservations team creates or updates the 35 individual reservations and follows up with the organizer regarding the five rooms that have not yet been assigned.
How to Interpret Rooming List
An accurate rooming list improves reservation accuracy, helps prevent duplicate or missing bookings, and supports coordination between Reservations, Front Desk, Sales, and the group organizer.
Hotels should establish clear deadlines for receiving rooming lists and updates, particularly when the event involves many guests or complex billing arrangements.
